How to choose the right digital planner

The right digital planner isn't the most popular or the most comprehensive; it's the one that adapts to how you operate. I juggle my personal and professional life daily, and I know how much of a difference the right tool can make. It's this experience I'm sharing here, to help you find the one that suits you.

Between formats, styles, and functionalities, the options can quickly seem endless, and the choice, intimidating. This article covers the main categories of digital planners, a short questionnaire to pinpoint your needs, and how to identify the InMotion Planner model that's right for you.

Digital Planner, Notion, or Paper Planner?

The digital planner isn't the only option for structuring your time. Notion offers more structure and collaboration; paper provides a true disconnection. If you're still undecided, compare digital planners and Notion or digital planners and paper before going any further.

Convinced that the digital format is for you? Here's how to choose the right model.

What is Digital Planning?

Now that you know why digital is right for you, let's look at what it actually involves. Digital planning means using a digital planner on a tablet (iPad or Android), with a note-taking app and a stylus.

Specifically, these are PDF files designed to recreate the experience of a paper planner, but with the flexibility of digital: you write, draw, and organize your notes by hand, just like on paper. What distinguishes a good digital planner is its interactivity. Integrated hyperlinks allow you to navigate with a simple tap between months, weeks, and days, in read-only mode.

Compatibility and Synchronization

A digital planner works with any device that supports PDF annotation, whether it's an iPad, an Android tablet, or even a computer. Synchronization between devices depends mostly on the chosen app and its ecosystem (Apple, Android, Windows), not the planner itself. To understand in detail which apps to choose and their specific features based on your device, consult Digital Planners: How They Work and Apps.

Categories of Digital Planning

Just like traditional stationery, digital stationery comes in several formats. Here are the main categories you'll find.

Digital Planners

Digital planners come in two formats: dated, anchored to a specific year for those who like to start fresh with a new beginning, and undated, infinitely reusable for those who prefer to maintain their habits without rebuilding their system each year. They also come in portrait (vertical) or landscape (horizontal) orientation, and in weekly or daily versions depending on the level of detail desired. This is the classic starting point for anyone who wants to manage their time daily.

At InMotion Planner, we chose the vertical format, which most closely resembles a real notebook or paper planner. Need more space to write? You can turn your tablet horizontally for a larger display.

Discover our 2026 collection for the dated format, or our undated collection for more flexibility. Undecided between the two? Our guide helps you choose.

Specialized Planners

Same structure as a classic planner, but organized around a specific theme: budget, fitness, project management. The pages are adapted for this use rather than a generic format. They work well as a complement to your main planner, to delve deeper into a specific area of your life. Discover our collection of specialized planners.

Digital Journals

Unlike planners, digital journals focus on a specific theme (personal development, goal tracking, gratitude) rather than time management. Without side tabs, they encourage continuous immersion in the content, like those in our collection of digital journals. Ideal if your priority is to explore a subject in depth, not to structure your week.

Digital Notebooks and Notepads

Designed for creatives, students, and everyone who likes to jot everything down, digital notebooks and notepads offer a free space to gather your ideas, training notes, or daily thoughts. No imposed structure: the pages adapt to your way of thinking.

Digital Stickers

Digital stickers add color and personality to your planner, in PNG format and infinitely reusable. A good visual complement to any planner or journal, rather than a standalone category; our user guide in Goodnotes details how to integrate them.

How to Choose the Ideal Digital Planner?

Everyone goes through different life stages, with specific planning needs. Faced with the variety of digital planners available, the choice can quickly become difficult. To guide you, I have developed a short questionnaire. By answering these seven questions, you can pinpoint your needs and refine your search.

The 7 Essential Questions:

  1. Dated or Undated Planner? Would you like a new planner every year, as a ritual of renewal, or do you prefer to customize and reuse the same model year after year? Dated suits those who like to mark time; undated, those who want to maintain their habits without starting from scratch.
  2. Main purpose of your planner? Daily task tracking, project management, or rather creativity and personal expression? If creativity is your main motivation, a journal or digital notebook might suit you better than a classic planner.
  3. Preferred tablet orientation? Portrait or landscape? Portrait more closely mimics a traditional notebook; landscape works well for large screens and detailed monthly views.
  4. Essential page types? Monthly view for a global perspective, weekly for balance, daily for precise tracking? Many people combine several formats in the same planner.
  5. Extra or specialized layouts? Sections dedicated to goals, habits, or other specific needs? If you check several of these, a specialized planner (budget, fitness, project) will likely meet your needs better than a general model.
  6. Preferred visual style? Colorful and dynamic, or sober and uncluttered?
  7. Acceptable price range? What range is suitable for a digital planner?

Once you have these answers, here's how to interpret them: if they lean towards structure and discipline, a dated or specialized planner will suit you. If freedom and continuity are paramount, the undated one is for you. And if creativity dominates, revisit the digital journals and notebooks mentioned above. Keep in mind that most people use multiple digital planners for different purposes, and finding the planner that suits you sometimes requires some adjustments.
